To be eligible for participation in ICPS, individuals must be at least 18 years old and enrolled as students in either physics or astrophysics. Furthermore, membership in the International Association of Physics Students (IAPS) is required.

Yes, participants need to be members of IAPS to attend or participate in ICPS. You can find detailed information about IAPS membership here.

No, you don't. You can still register for ICPS 2024 and worry about your membership in parallel. We will go through the student registrations and ask IAPS NCs and LCs for confirmation. If you are not a member by then, we will make sure to connect you to them.

No, online participation is not available for ICPS this year.

To register for ICPS, you can follow this link. Firstly, you will be asked to create an Indico account(Super Easy). Once you are logged into the system, you will be able to fill out the registration form.

No. You can submit your abstract before June 23, 23:59 GMT+4. To submit an abstract follow the link and click “submit new abstract”.

Student presentations and poster sessions are the integral part of our conference. While you don't have to, it's most certainly encouraged to take active participation. Please, note that even if we don't strictly require you to present, your university might (if they are funding you).

You cannot change or update the registration information by yourself. If you want to update the information please contact us via email (icps@freeuni.edu.ge) and we will change it for you.

You will receive a certificate of participation by the end of the conference.

Both our campus and the accommodation is fully equipped for most special needs. There is a field for this in our registration form. Do let us know and we will try our best to assist!
Payment
of the participation fee

The participation fee is 200 Euros per student. This includes accommodation, catering, transportation services within Georgia, excursions, events, etc... basically, the whole conference. If you are presenting a poster AND want us to print it an additional fee of 10 Euros will apply. Please, note that you don't need to pay during the registration! You will receive an invoice from us with all the relevant instructions and you will have 10 days to pay the fee
It is worth mentioning that while the participation fee includes all of the conference services, it most certainly does not cover it. Our event is made possible by the support of our partners and sponsors about which you can find out here.

The registration fee includes accommodation, catering, transportation services within Georgia, excursions, events, etc... basically, the whole conference.

We would suggest you to:
  1. Ask your university. Most universities have available funding for such financial support.
  2. If you are a member of a research group, ask your supervisor about it. Most research positions come with a conference budget.
  3. Look out for external funding opportunities. This can be either something from your geographic location or something international, like the jIAPS article contest (https://iaps.info/jiaps/jiaps-article-contest/).

The participation fee can only be paid via bank transfer. Upon completing the registration form, the system will provide you with the necessary bank details for the transfer.

Yes, you can travel visa-free to Georgia if you have a valid visa and/or residence permit from specific countries. Check the list of countries whose visa and/or residence permit holders may enter Georgia without a visa under certain conditions on the following link.

If you need a visa to enter Georgia, you can apply online through the following link. Most likely, you will need to apply for a C category - ordinary visa. See the visa categories on the following link.
Stay
Staying in Georgia

During the conference participants will be staying at the Ibis Budget Tbilisi Center, nestled in the vibrant heart of Tbilisi. You can find more information about the accommodation here.

During the registration process, participants have the option to indicate their room sharing preferences and preferred roommates. Take into account that we can not guarantee to accommodate these preferences, but we will try our best.

The accommodation includes Wi-Fi, AC, Linen, Towels, Flat-Screen TV, Breakfast.

The accommodation is fully equipped for most special needs. Do let us know if there is anything specific you need!

Guests are welcome to request a complimentary late check-out, available until 2pm. Regarding check-in, the official timing commences at 3pm; however, guests may utilize the lobby from 9am onwards. For further details on check-in/check-out conditions beyond these specified windows, please feel free to contact us.

Yes, hotel and ICPS stuff will be there to assist you with any issue you might have.

ICPS covers your expenses only for conference dates 4-11 Aug but you can extend your stay at your expense if the hotel has availability.
